3. Operational data collected through our intake forms
When you submit a contact or research form on the Website, we collect information about your operation so we can review the workflow you describe. This includes:
- Business context: your business type, team size, and role.
- Operational friction: the workflow problems you select, such as slow response to enquiries, leads not reaching the right person, missing information, missed follow-ups, or handoff delays.
- Desired outcomes: what you want to improve, such as faster first response, fewer missed enquiries, better lead routing, or less manual administration.
- Language and international workflow: the languages your team and clients work in, the markets you serve, how translations are handled, how out-of-hours requests are managed, and how enquiries are routed across time zones or channels.
- Systems and handoffs: the tools and channels you use (for example CRM, property portal, email, WhatsApp, spreadsheet, property-management software) and where handoffs between tools or teams cause friction.
- Urgency and context: how soon you need attention and any additional details you choose to provide.
This information is process-level. We do not ask for, and you must not provide, tenant or customer names, financial records, contracts, passport details, visa details, or any special-category personal data such as health, religion, ethnicity, or political opinion.
We use language and market selections only to understand operational communication requirements. We do not use them to infer nationality, ethnicity, religion, or immigration status.
4. Engagement intent and consent
The intake forms also record what you would like from Frictera and what permissions you give us. Options include a friction review, operational assessment, short research conversation, product demonstration, or pilot discussion.
There are two separate pilot-related choices, both unchecked by default:
- Pilot interest — you are interested in discussing a bounded Frictera pilot if the workflow appears suitable. This alone does not authorise us to contact you about a pilot.
- Pilot contact opt-in — you give separate permission for us to contact you specifically about pilot availability. We will only contact you about pilots if both interest and this opt-in are selected.
If you request a call, we record that request. Calendar scheduling is not yet live, so if a call is appropriate we will contact you by email to arrange a convenient time.
Any future newsletter or general marketing consent will be requested separately and is not obtained through these intake forms.
5. How we use your data
We use your personal data only where the law allows us to. Most commonly, we will use your personal data to:
- Respond to enquiries and provide the services you request.
- Review the operational workflow you describe and assess whether Frictera may be able to help.
- Manage our relationship with you, including notifying you about changes to our terms or privacy notice.
- Improve our Website, services and customer experience.
- Deliver relevant marketing communications where you have opted in.
- Comply with legal, regulatory and professional obligations.
6. Data sharing
We do not sell personal data. We may share your data with trusted third-party service providers who help us operate our business (such as hosting, email, analytics and customer relationship management services), and with professional advisers, regulators or law enforcement where required by law.
When live intake is enabled, form submissions will be forwarded over an authenticated server-to-server connection to the Frictera public inbound gateway, validated, stored in our database, and rate-limited via our infrastructure. No automatic CRM update, broker routing, email send, or calendar booking occurs.
7. Data security
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. Access to personal data is limited to those employees, agents, contractors and third parties who have a business need to know.
8. Your rights
